Project & Bid Coordinator

About the role:

Full time, permanent role, reporting to the Operations & Project Director, this post requires the successful candidate to be educated to degree level in Business Management, Engineering, IT or a related discipline, or possess equivalent relevant experience.

The role is based in Corpach, Fort William with regular travel and overnight stays being a requirement for the role.

Key responsibilities of the role:

  • Support the full life cycle bid process. 
  • Review RFQ documentation assessing scope, complexity & risks involved and providing feedback to Senior Management/Directors.
  • Shaping bids to achieve compliant & compelling bid submissions.
  • Set up and take ownership of a bid calendar and associated internal alerts.
  • Participating in tender kick-off and review meetings both internally & externally.
  • Write or contribute to sections of the bid response.
  • Encourage continuous improvement in the bid & precontract management process.
  • Ensure internal documentary & process compliance around the bid management process and contribute to continuous process improvements.
  • Co-ordinate departmental input into the bid writing process.
  • Record & log bid submission receipts.
  • Support documentation preparation pre-contract start as required on won opportunities.
  • Generating project work schedules & programmes.
  • Ensuring efficient transition to successful tenders with the relevant operational departments.
  • Generating monthly project progress reports.

About the individual:

  • Educated to degree level (Business Management/Engineering/Information Technology) or qualified through relevant experience
  • Excellent IT Skills and competency with Microsoft applications including MS Word, MS Excel, MS PowerPoint & MS Project.
  • Accuracy and attention to detail.
  • Excellent time management skills.
  • Ability to work to tight deadlines
  • Ability to manage, plan and prioritise own workload often in a high-pressure environment with multiple deadlines.
  • Excellent written & verbal communication skills.
  • Proficiency in CAD Software (e.g. AutoCAD) would be highly advantageous.
